Office Experience Manager

We are seeking a highly motivated, detail-oriented individual with a positive attitude and a welcoming presence to help keep our Wichita office running smoothly. In this part-time, 30 hours per week, benefits-eligible position, our Office Experience Manager will greet all guests, answer phones and work all the behind-the-scenes magic to make Signal Theory a welcoming environment for our employees and any clients or guests who visit our Wichita office.

This role’s primary emphasis is on enhancing the day-to-day employee experience for our close-knit Wichita team.

Responsibilities

General Responsibilities:

  • Greet employees, clients, vendors, guests and prospects in a welcoming and professional manner.

  • Get our office up and running and maintain its tidiness each day. This includes restocking refrigerators, making coffee, pushing in chairs, refilling snacks, replenishing supplies and loading/unloading dishwashers.

  • Answer phone and process calls for our Wichita office, coordinating with our Kansas City office as needed.

  • Manage staff birthday calendar and coordinate birthday recognition by sending e-cards for team members to sign and deliver to the birthday person.

  • Send weekly communication to all staff communicating PTO, sabbaticals, FMM & celebrations.

  • Send, receive and manage all U.S. Mail, FedEx and UPS shipments to and from our office. Tracking package cost information including job number and sender’s name, etc.

  • Pick up and process incoming/outgoing mail (sorting by addressed-to name and sending outgoing mail).

  • Open and date stamping invoices and sending them to appropriate accounting staff in a timely fashion.

  • Set up meeting spaces, coordinate catering  and assist with cleanup for all-staff and other meetings as requested.

  • Regularly disinfect high traffic areas like the front desk, kitchen and large conference rooms as needed.

  • Order and maintain office supplies, snacks and drinks for staff use. This includes occasional trips to Sam's Club and similar vendors using your personal vehicle. Mileage is reimbursed at the current IRS rate.

  • Manage our recycling program which includes collecting recycling materials from bins located throughout the office and bringing them to our central recycling stations for pickup by our recycling vendor while also managing the account relationship with our recycling vendor.

  • Support Wichita leadership and HR with student tours, university communications and recruiting events. This includes preparing materials, coordinating logistics, and assisting with job fairs and campus visits.

  • Welcome new employees on their first day, including setting up their desk, creating welcome signs, serving as the first point of contact for new employees on their first day, etc.

Building Management Responsibilities:

Responsible for working with building management to maintain our office space and equipment including:

  • As of November 2026, we are moving to a new office location located on the Arkansas River just northwest of Wichita’s Central Business District. The person in this position will help box, sort, and unbox items that need to be moved from our current location. Coordinate with official movers for large items and installation. All this will require close attention to detail and working alongside the Wichita office leadership, HR, IT and architect and construction company contacts. 

  • Coordinate any office-maintenance needs with building management  across HVAC, plumbing, electrical issues, etc.

  • Work with our coffee service vendor to maintain adequate levels of coffee and coffee-related supplies in the building.

  • Coordinate any service needed for refrigerator, freezer equipment and  ice machine.

Administrative Assistant Responsibilities:

Provide administrative support to local Wichita leadership and HR functions with minimum supervision, including scheduling meetings, screening phone calls when requested, making travel arrangements  (including arranging for lodging, rental cars, etc.) and other tasks as requested.

Community Outreach:

  • Coordinate local community outreach activities as opportunities arise, such as homeless shelter, animal shelter and children’s home holiday donation or decorating events.

  • Coordinate social outings, offsite group events and other employee gatherings that build culture and connection among our Wichita team.

Requirements

Experience needed and requirements:

  • Possess minimum two to three years of similar experience in an established office setting.

  • Have an aptitude for technology and learning new programs along with proficiency in Google suite applications.

  • Strong computer skills, including comfort using AI tools; training will be provided.

  • Reliable transportation and a valid driver’s license.

  • Ability to lift, carry or transport boxes weighing up to 30+ pounds.

  • Be a self-starter and have a can-do, service-minded attitude and a willingness to do whatever it takes to get the job done.

Required hours to be worked inside the Wichita office: 30 hours per week as shown below*

  • Mondays: 10 a.m. to 1 p.m.

  • Tuesdays/Wednesdays/Thursdays: 8:15 a.m. to 5:15 p.m. with 1-hour lunch break

  • Fridays: 8 a.m. to 11 a.m.

*We are open to slightly altered workday schedules depending on candidates’ schedule needs
